OCS Supplier Guidance

New Suppliers

OCS select new suppliers based on their technical ability to deliver according to specification accounting for responsible, ethical and sustainable practices along with social value and environmental considerations.

To become a supplier to OCS you will be asked to complete the OCS due diligence process, including the pre-qualification questionnaire and signing of the OCS terms and conditions and supplier code of conduct. Suppliers providing on-site services and works must also undergo SafeContractor accreditation prior to commencing work.

Only suppliers pre-approved by Procurement will be invited to complete this process.

Important Notice

The SafeContractor portal keeps your records up to date, reducing the risk of losing work due to outdated documentation. Accreditation takes 4-6 weeks, depending on the membership package.

Approved contractors/suppliers appear on our online portal. Existing SSIP members receive a discount with SafeContractor, enhancing growth opportunities within OCS.

OCS Payments

OCS Payments

We operate a strict “No PO, No Pay” policy. Your organisation must have an official Purchase Order (PO) to complete work or deliver goods. Emails or phone calls are not considered valid orders. Invoices without a PO number will not be paid.

To ensure prompt payment you must:

  • Send invoices within 60 days of goods/service delivery.
  • Ensure invoices reference the purchase order number and match the purchase order detail.
  • Ensure invoices are addressed to the correct legal entity and address (e.g. OCS Group UK Limited / OCS M&E Limited).

Frequently Asked Questions

  • Obtaining SafeContractor accreditation is the first step for any contractor. If you are already accredited, please contact us here, and a member of our team will reach out to you.

  • OCS requires all subcontractors and suppliers working on-site to obtain SafeContractor accreditation. This ensures that we have assessed their health and safety practices and compliance with health and safety legislation.

  • If you work on-site at OCS, you must undergo SafeContractor accreditation without exception. If you are an SME and are experiencing difficulties with accreditation, please contact us at safecontractor@ocs.com for additional support.

  • Yes, but this is good news! If you have another SSIP accreditation, you can use the ‘Deem to Satisfy’ route to obtain SafeContractor membership. This reduces repetition and duplication of work and is available at a discounted rate.

  • Yes, all suppliers and subcontractors working with OCS must sign our Supplier Code of Conduct. This Code aligns with best practices to ensure our expectations do not conflict significantly with those of your other clients. We base our standards on the ETI Base Code, ILO’s International Labour Standards, and the principles of the UN Global Compact to ensure consistency for suppliers.
